Temporary Technical Support Officer / Administrative x2 – Building Maintenance

Pay Rate: £11.47 per hour PAYE

6 month duration which is reviewable and may be extended to 12 months with the possibility of a permanent role

To working alongside operational officers, planning, scheduling and responding to work requests across the department. The role will also include financial transactions and the administration of material and contractor requirements. Full training will be given but experience of working within a Building Repairs and Maintenance environment will be an advantage. See attached role profile for further details.

Key responsibilities:

  • Support the Team Leaders and there appointed deputies in contract administration, co-ordinating and actioning of servicing and maintenance contracts and updating appropriate ICT systems.
  • Raise works orders, purchase orders and process invoice payments.
  • Collate information for recharge queries on behalf of the Team Leader to assist with their decision on the outcome.
  • Assist with production of final accounts by gathering all required information for the Team Leader, producing recharge reports, and completing recharges of orders within 8 weeks of completion of the works in accordance with KPI targets.
  • Update spreadsheets and collate performance statistics to assist with production of KPI reports.
  • Liaise with operatives to ascertain completion dates for work and recording data as instructed, undertaking time confirmation of labour on computer software.
  • Contact customers to make appointments and access arrangements, along with advising and updating customer on progress/delays as and when required.
  • Deal with customer, contractor and supplier queries including resolving blocked invoices.

  • Minimum of 12 months recent experience in a similar role, or context and ideally within a public sector organisation.
  • Experience scheduling work and diary management.
  • Experience of working within a Building Repairs and Maintenance environment (desirable).
  • Raise works orders, purchase orders and process invoice payments.
  • Excellent communication skills.
  • Strong IT skills using Microsoft packages or equivalent (e.g. G Suite).
