The Property Services Team requires an experienced administrator to carry out a range of admin duties involving electronic filing, Input of data, collating information, communicating with contractors, customers and other staff.

Key responsibilities:

  • Act as a point of contact for utility companies and firms undertaking service contracts for Gas, Lifts, Asbestos, Cleaning, Water Treatment, Electrical Testing, Asbestos Surveys, Fire Protection, Air source heat pumps, chimneys, Lightning protection, Man-safe systems and repairs, maintenance for all solar installations.
  • Assist with the no access procedures for gaining access to property for service contractors, when access requests have been ignored or, by obtaining evidence required for EHL/LDC lawyers to apply for court injunctions.
  • Investigate complaints and prepare a detailed report for the Compliance, Mechanical & Electrical Contracts Manager to issue a final response.
  • Collate company accident and incident data, analysing and compiling reports from the data to show trends.
  • Place instructions with in-house surveyors and occasionally our contractors to undertake inspections, surveys, and project management work.
  • Maintain Health and Safety records including equipment logs, the C.O.S.H.H. Register and the Health and Safety file.
  • Place orders for repairs with supply chain partners.
  • Manage the processes connected with raising, assessing, and monitoring purchase orders ensuring that invoices are accurate and paid on time.
  • Assist with collating and processing compliance certification including annual asbestos block inspections, Major works projects, large programmes of works and all other works.
  • A point of contact for works relating to solar panels, including removal for roof repairs, breakdown of equipment, bird nesting issues and complaints.
  • Assist with the coordination and submission of audit information including Air source heat pumps and Solar PV.

Experience & Skills:

  • Minimum of 12 months recent experience in a similar role, or context and ideally within a public sector organisation.
  • Experience engaging with customers by phone, email and in person.
  • Experience handling customer complaints.
  • Experience dealing with confidential records and information.
  • Basic awareness of health & safety in relation to property management.
  • Experience working with spreadsheets.
  • Strong IT skills and familiar with Word, Excel and Outlook.

 

Desirable:

  • Work experience within the building maintenance or property management sectors.
  • Working in a public service environment.
  • Use of property management databases.
  • Mail merges experience.
  • Working with suppliers like contractors and consultants.
  • Researching and gathering information relating to statutory compliance.
  • Writing reports.
  • Use of purchase order systems.
