Temporary Support Admin Officer - Repairs

Support Officer required to work in a repairs and maintenance setting, assisting in the day to day admin duties to assist the management, team leaders and surveyors in the claiming of job tickets, raising orders for services and materials, contacting customers to arrange appointments for work and dealing with customer queries and requests   

Key Responsibilities: 

 

  • To receive enquiries from residents and contractors on all matters dealt with by the service unit.  To ensure adequate information is in order to assess the correct response and process or pass to the relevant member of staff as necessary. 
  • To raise repair and inspection requests, update information on properties and deal with matters escalated by the customer service centre. 
  • Liaise with tenants and contractors to gain access to properties where current gas safety certificate is close to expire or overdue and other day to day repairs. Check and update the housing management system and the contractors system to ensure the correct data matches. Carry out manual practical completion of all repair jobs on the housing management system 
  • Process enquiries received from residents and liaise with contractors on matters dealt with by NHMS responding or forwarding to other officers as appropriate. 
  • To provide, on request, computer output documents in the form of job tickets, inspection requests, standard letters, reports and individual property, job or person details. 
  • Liaise with utility companies and resolve day to day queries where possible. 
  • Carry out mail merges from department systems on behalf of N&HMS to include the creation / reproduction of Section 20 notifications. 
  • Arrange taxis for tenants and check invoice for management review 
  • Process housing and garage rents to include Orchard updates, production of letters, updating of spreadsheets and amending or creating of direct debit mandates using Allpay 
  • With other Business Support Officers, sort and distribute internal and external post
