Temporary Registration Service Administrative Officer

To carry out a range of administrative duties for the Team with limited supervision, which may involve written, telephone or face to face contact with the public or internal colleagues and the application of organisational procedures and systems.

Key responsibilities:

  • Assist with a broad range of administrative tasks within Registration Service related to registration of births, stillbirths and deaths.
  • Administrative support with paperwork for marriages and civil partnership.
  • Liaise with Registration Officers and Admin colleagues regarding technical specifications of tasks and follow guidance provided.
  • Support all office staff with administrative tasks as required.
  • To be aware of the statutory responsibilities of Registration Officer colleagues.
  • Responsible for a wide range of customer contact in person, via telephone and email.
  • Contacting customers over telephone regarding booking and moving appointments.
  • Maintain an awareness of, and compliance with, corporate and departmental health and safety policies, in particular to maintain an awareness of equality and diversity issues.
  • To maintain an awareness of, and compliance with, corporate and departmental.
  • Responsible for ensuring a safe working environment in which risk is minimised.

Qualifications:

  1. A good general standard of education.

 

Skills & Experience:

  1. Minimum of 12 months recent experience in a similar role, or context and ideally within a public sector organisation.
  2. Previous experience in Registration Service or Administrative role.
  3. Experience of working in a frontline customer service role.
  4. Excellent communication and interpersonal skills.
  5. Ability to make sound judgements and use initiative when appropriate.
  6. ICT Skills: Strong IT skills including Microsoft packages or equivalent (e.g. G Suite).
