The purpose of the role is to coordinate the purchase of products and materials and ensure quality products are obtained for competitive prices in a timely fashion, ensuring adherence to the Procurement Policy. The successful candidate will ideally have experience in a busy Procurement/Purchasing department and will be able to demonstrate the ability to manage large volumes of transactions whilst ensuring a high level of customer care is given to internal stakeholders.  The role requires candidates to be resilient and be able to work in a fast paced, interchangeable environment.

Key responsibilities:

  • Support the Procurement Team with the delivery of the group procurement strategies.
  • Undertake the day-to-day administration requirements of the Procurement Department such as monitoring the Procurement mailboxes, creation of purchase orders and confirming goods/services on purchase orders.
  • Undertake the preparation of request for quotation (RFQ) documents for issue including use of e-tendering system.
  • Support the Procurement Team with implementation and continuous improvement of Supplier Relationship Management.
  • Work closely with internal stakeholders to assist with the purchase to pay process, including ensuring that approved invoices are issued for payment.
  • Act as the point of contact for internal stakeholders and suppliers on all delivery and order issues.
  • Work to understand and to ensure compliance with relevant legislation i.e., procurement legislation, state aid, data protection and freedom of information and contractor approvals.
  • Work with the team to gain an understanding of Governance procedures, procurement regulations and the General Data Protection Regulations.
  • Work flexibly and undertake such other duties and responsibilities commensurate with the grading and nature of the post.
  • Take reasonable care of your own health & safety and co-operate with management, so far as is necessary, to enable compliance with the authority’s health and safety rules and legislative requirements.

  1. Business Administration Level 2 - desirable.


Skills & Experience:

  1. Minimum of 12 months recent experience in a similar role, or context and ideally within a public sector organisation.
  2. Excellent written and oral presentational and communication skills.
  3. Ability to work to deadlines and change priorities according to the needs of the Organisation.
  4. Ability to work at a pace, while prioritising various projects and deadlines
  5. Experience of working within a team.
  6. Ability to demonstrate equivalent level relevant knowledge gained through demonstrable works experience.
  7. ICT Skills: Strong IT skills including Microsoft packages or equivalent (e.g. G Suite).
