The purpose of the role is to provide high quality, comprehensive secretarial and administrative support and personal assistance to the Head of Service. The role will deal directly with, and be a key point of contact for Members, officers and partners.

Key responsibilities:

  • Provide comprehensive secretarial and administrative support to the Head of Service, as well as Members and other Heads of Service as and when required ensuring efficient running of the Head of Service’s office.
  • Schedule and organise informal and formal meetings on behalf of the Head of Service and/or leadership team to ensure they run efficiently and conform to corporate governance arrangements.
  • Monitor, review and improve processes, systems and practices to ensure the Head of Services office performs successfully and optimises efficiencies.
  • Determine appropriate responses, with reference to Customer Care guidelines, to deal with enquiries from Central Government, external agencies, the public, members and officers.
  • Manage the scheduling of the Head of Service’s travel and meeting commitments to ensure effective co-ordination and use of diary time.
  • Manage the filing and storage of all electronic and paper files for the Head of Services office, in line with best date management practice, to ensure efficient and effective record keeping.
  • Process all correspondence pertaining to the Head of Service to ensure that all matters are dealt with efficiently and within relevant timescales and deadlines
  • Organise and facilitate service events including stakeholder engagement as required.
  • Support the recruitment, motivation and development of other staff to the team to maintain an effective team, capable of meeting its objectives.

Skills & Experience:

  1. Minimum of 12 months recent experience in a similar role, or context and ideally within a public sector organisation.
  2. Experience in managing diary systems
  3. Experience in organising business travel and accommodation.
  4. Able to plan, organise and support meetings/events.
  5. Able to prepare text from various sources.
  6. Able to research, analyse and report information.
  7. ICT Skills: Strong IT skills including Microsoft packages or equivalent (e.g. G Suite).
