Proven minute taking skills and experience are essential for this role.

The purpose of the role is to provide an efficient and confidential personal assistant service to senior members of the Corporate Management Board and external consultants.  To ensure that BCP runs effectively and efficiently and complies with governance at the most senior level.  To deputise for the Higher and Senior Executive Officer during periods of absence.

Key responsibilities:

  • Arrange and organise Director's appointments and diary system, including scheduling and the tracking of actions.
  • Arrange and service meetings, including venue booking, agenda preparation, collation and preparation of supporting papers and minute taking of accurate and clear notes as well as coordination of follow up actions.
  • Support the preparation of cabinet and corporate reporting procedures undertaken by the Director, including collation of information and tracking the progress of reports through the democratic process. To use an effective digital bring forward system to ensure the Director is equipped with necessary papers and briefing material for all meetings.
  • Create project plans and progress actions to ensure deadlines and milestones are reached.
  • Prepare the Director with feedback on deadline and milestone progress.
  • Undertake other duties appropriate to the level and general nature of the post
  • Arrange conferences and to be available to facilitate the event and provide confidential note-taking if required. Main activities would include agenda preparation, support with presentation preparation, collation of attendee responses, sourcing venue, ensuring equipment requirements are met as well as being aware of any particular catering/dietary requirements. To also make all travel arrangements as and when required.

Qualifications:

  1. 3 A Levels, NVQ 2/3 in Business Administration (or equivalent experience).

 

Skills & Experience:

  1. Minimum of 12 months recent experience in a similar role, or context and ideally within a public sector organisation.
  2. Experience of providing first class secretariat support to senior management in a fast-paced environment.
  3. Be able to assimilate large amounts of information at pace with a high degree of accuracy.
  4. Excellent organisational skills and the ability to prioritise tasks to meet tight deadlines.
  5. Ability to work under pressure and at pace with senior leaders.
  6. Strong interpersonal skills and communicates in a planned, controlled and appropriate manner with all stakeholders.
  7. Ability to work flexibly in an environment with changing priorities.
  8. Good knowledge of administrative practices, processes and procedures within an office environment.
  9. Minute taking.
  10. ICT Skills: Strong IT skills including Microsoft packages or equivalent (e.g. G Suite).
