Temporary Fleet Support Officer - Admin & Clerical

A Fleet Support Officer required to support the management of the Fleet Management Unit and Fleet Maintenance Centre with the core services including legal compliance, safety, sustainability, financial efficiency and customer service.
Duties to include:
- As part of a support team, to provide a central point for all fleet related queries
- To assist the managers of the Fleet Management Unit to ensure all legal compliance issues are adhered to
- To operate the Fleet Focus M5 fleet software system and assist with its ongoing development. Identify issues relating to vehicle maintenance records, activities, problems within the software through various reporting functions bringing issues identified to the appropriate fleet or service managers
- To assist in the identification and provision of ad-hoc training
- To input Fleet orders, procurements, invoices onto the Councils Financial System
- To support the Fleet Management Unit in the procurement of goods and services

- To undertake audits for fleet activity and legal compliance on a regular basis providing advice and guidance for minor non-compliance correction or referring serious non-compliance to senior fleet officers
- To fully utilise Fleet Focus M5 fleet software system and maintain vehicle files ensuring compliance documents are kept up to date
This role is predominantly office based however, there is scope to work from home.

Minimum of 12 months recent experience in a similar role, or context and ideally within a public sector organisation.
Skills & Abilities

- Understanding of the operation of Fleet systems in a large and multi service organisation
- Understanding of legal requirements of running a fleet under ‘Operator Licence’ conditions
- Personal and professional demeanour which generates credibility and confidence amongst Members, managers, staff, external partners, suppliers and all other stakeholders
- Ability to demonstrate good oral, written and presentational skills
- Able to acquire new skills and demonstrate a strong commitment to learning/continuous professional development for self and others

Experience
- Experience of fleet management systems, particularly relating to commercial vehicles and ’Operator Licencing’
- Experience of supporting a legislative based function
- Experience of dealing with regulatory bodies and Trade Associations such as the Office of the Traffic Commissioner; Vehicle & Operator Services Agency (VOSA); Driver and Vehicle Standards Agency (DVLA); Freight Transport Association (FTA) and Transport for London (TFL).
- Experience of document retention and retrieval
- Experience of dealing with Penalty Charge Notices and Congestion charging administration
- Experience of Using a Commercial Vehicle Management System
- Experience of using an electronic invoicing system
- Experience of working with Transport regulators
- Experience of administration and storage of documents for ‘Operator Licence’ requirements
- Experience of using computer systems such as Microsoft or Google to develop and maintain spreadsheets / databases with simple formulas, Word for basic letter writing and Powerpoint for basic presentations and / or dedicated fleet management software for maintaining fleet and maintenance history
