Hybrid working – 2 days in the office and 3 days remote

The purpose of the role is to provide a high level, comprehensive and pro-active personal clerical/administrative support service across the service group and work with the management team to ensure consistent processes and administrative standards are met through the provision of effective and efficient executive support.

Key responsibilities:

  • Prioritising issues to ensure that urgent, significant and politically sensitive matters are dealt with and/or escalated appropriately.
  • Undertaking information gathering, basic research and co-ordination as required.
  • Taking action and progress chasing to ensure completion of tasks, projects/issues by third parties.
  • Dealing with correspondence, handling enquiries and respond as appropriate.
  • Diary management.
  • Preparing and collating agendas, reports and all documents for meetings to the required standards.
  • Arranging meetings, travel and accommodation requirements.
  • Minute taking in meetings and producing final copies.
  • Assisting Executive Support Team Leader and administrators in covering the work of the team, particularly in respect to answering telephones, urgent WP work and general administrative functions and providing cover where appropriate.
  • Developing and maintain an effective working relationship with the Council’s other executive support staff, guiding and mentoring where appropriate.
  • Providing cover within the executive support function as directed and required.
  • Assisting with the compiling of performance data, complaints and compliments.
  • Providing a confidential service to the Directors and senior management team which may often be sensitive and require complete confidence in the handling of such information.


“Role Requirements” – to give yourself the maximum chance of success please try and ensure your CV addresses the following essential criteria:



  1. GCSE/O-level standard in English and Maths or hold an appropriate equivalent level qualification.
  2. NVQ level 3 in Administration or an equivalent qualification or able to demonstrate equivalent standing through experience and training base.


Skills & Experience:

  1. Minimum of 12 months recent experience in a similar role, or context and ideally within a public sector organisation.
  2. Developing effective working practises, standards, systems for administration and business support.
  3. Experiencing of supporting senior managers in an executive/personal assistant capacity.
  4. Dealing with Elected Members and external organisations.
  5. A good knowledge of council processes and structures.
  6. Organisational skills, both written and verbal.
  7. Working as part of a team supporting a group of senior managers.
  8. ICT Skills: Strong IT skills including Microsoft packages or equivalent (e.g., G Suite).
