The Team require an experienced administrator to provide Heads of Service with high quality, efficient and effective business services providing wide ranging and accurate executive support. This will include dealing with correspondence, diary management, organising and minuting meetings, handling confidential and sensitive issues.

The post holder will be expected to provide project related admin services, playing a key part in enabling the Business support team to work efficiently. You will need to be organised and able to proactively manage your workload, take the initiative and use judgement to resolve internal and external issues.

Key responsibilities:

  • Provide an efficient, effective and proactive support service to Heads of Service and other designated Senior Management roles, as required.
  • Undertake project-based tasks for Heads of Service, ensuring management information is obtained and reports are produced by required deadlines, using Microsoft tools to create graphs and charts.
  • Managing busy diaries, scheduling meetings (prioritising) sending out agendas with associated documents, ensuring deadlines are met.
  • Taking minutes at, sometimes complex and confidential, meetings, agreeing format with Head of Service. Producing electronic minutes and distributing them.
  • Draft and respond to emails on behalf of Heads of service, as necessary.
  • Raise orders, code invoices, purchase goods and services and carry out monthly reconciliation for the same, in line with corporate financial guidelines using the financial management system.
  • Provide timely, accurate complaint case admin support, using the complaints system, assisting managers with responses, helping with information for multi-service complaints, ensuring deadlines are met.
  • Providing project support for specific projects and procurements, collect, collate, analyse, interpret and present performance information, within deadlines.
  • Produce project and procurement documentation to ensure effective and accurate document management and version control, updating data as received and distributing to the relevant departments.

    3. Experience in supporting Senior Management.
    4. Experience of supporting with projects.
    5. Experience of working in a business support environment.
    6. Experience of taking complex minutes.
    7. Exceptional communication skills, both written and verbal with excellent active listening skills.
  6. Skills/Knowledge:
    1. High level of numeracy and ability to produce accurate reports. Experience of creating Spreadsheets and interpreting data.
    2. Good Organisational skills. Ensuring targets and deadlines are met, prioritising your time to meet deadlines, whilst maintaining Council standards.
    3. Ability to work proactively, manage and prioritise workload and conflicting demands, and work on own initiative finding solutions to issues as they arise
    4. Ability to clearly articulate messages to a variety of audiences and the ability to establish and maintain
    5. Able to deal appropriately with confidential and sensitive matters
    6. Attention to detail, accuracy, negotiating and influencing skills; ability to analyse data and present it in a way, that is clear and logical
    7. Teamwork, having a flexible approach to support the Team to achieve both individual and Team objectives.
  7. ICT Skills: Strong IT skills including Microsoft packages or equivalent (e.g. G Suite).
