Temporary Business Admin Support Manager

To provide an efficient, high quality and proactive support service to the Executive Director and the Housing and Social Investment DMT/Directorate in their leadership roles (DMT and Reports)
Key Responsibilities:
- To co-ordinate approvals and correspondence on behalf of Exec Director and DMT Reports
- To conduct research, collate information and prepare briefings and presentations on behalf of the Exec Director and DMT Reports, gathering, analysing and presenting information from across the Council and from outside as necessary.
- Provide effective office management for the Executive Director and Social Investment DMT/Directorate – managing diaries, organising meetings, responding to direct enquiries, screening correspondence, and redirecting enquiries as appropriate. To ensure all have planned forward diaries and that supporting logistical arrangements are in place.
- To ensure administrative arrangements in place for internal meetings and other key service partnership meetings, including setting the schedule of meetings, agenda setting and minutes, including any outstanding follow up actions
- To ensure a professional and customer focus service is presented to all visitors and callers and that all enquiries are responded to sensitively and resolved appropriately in line with the expected standards of the Council.
- To coordinate the Departmental approach to business continuity, providing administrative service point of contact for the service on behalf of the Executive management. To identify and deliver strategic level activities on key governance processes including the Forward Plan and Director’s Assurance Statement.
- To co-ordinate approvals and correspondence on behalf of the Executive Director, both email and letters; redirecting or responding as necessary and in accordance with the priorities of the Executive Director.
- Work with the complaints team to ensure all complaints and Councillors queries addressed to Directors (including Exec Director) are logged, investigated, and responded to within timescales. Ensure requests are followed up and provide the Directorate with an overview of casework.
- To ensure adequate security arrangements maintained for confidential and sensitive information.
- Manage, coordinate and organise the end to end recruitment process of members of staff as instructed by Exec Directors and DMT Reports, including supporting new starters and their requirements, coordinating with the central recruitment team as required

- Able to engage with internal and external stakeholders in a friendly and professional manner
