Temporary Business Support/Admin Officer - Admin & Clerical

A Business Support Officer is required to provide a high standard of administrative support to Safeguarding Teams in Children's Services.

You will provide typing of documents where required, maintain a client database and records, carry out any other administrative duties to support the team and handle incoming queries from service users and other professionals both in person and the phone.

Duties to include:

  • Updating daily spreadsheet with team data/ activity
  • Updating other trackers/ spreadsheets with placement information
  • Assisting with sorting search emails and shared inbox
  • Compiling data for manager/Data Management/FOI returns
  • Filing of information to children’s folders
  • Folder audits and tidying up, archiving
  • Updating mailing lists
  • Compiling lists of provider vacancies where required
  • Adding documents to ICS
  • Adding contracts to Docusign, chasing outstanding contracts with providers, saving to children’s folders and Care Director
  • Arranging meetings, taking minutes, distributing and saving minutes
  • Sending information to and requesting information from providers
  • Assisting with placement reviews

Whilst the role will be mostly working from home, there will be a future need for some office based working and the successful candidate would be expected to be in the office for the majority of the 2 week induction.

  • Educated to GCSE level or equivalent


Knowledge and Experience:

  • Minimum of 12 months recent experience in a similar role, or context and ideally within a public sector organisation.
  • At least one year’s experience of working in a busy office environment
  • Experience of working in an administrative role using Windows based packages
  • A typing speed of at least 45 words per minute


Skills & Competencies

  • Ability to cope with highly sensitive information
  • Able to work quickly and accurately to deadlines
  • Enthusiasm for the objectives of the Children Services Department
  • Ability to learn and gain experience of new areas of work and responsibilities, and help in other areas of the office.
  • Commitment to improving the quality of service
  • Excellent word processing skills
  • Excellent communication skills across different groups and organisations and a polite and courteous telephone manner and excellent customer service skills
  • Ability to work quickly and accurately and be able to adapt to changes in levels of workload and priorities.
  • Prepared to learn new skills and process, and to help in other areas of the office
  • Willingness to contribute to the overall effectiveness of the team.
  • Ability to follow specified processes to ensure consistent service delivery to all customer
