What's involved with this role:

To provide administrative support for the local drug & alcohol service 

Key Responsibilities: 

  • To provide business support to the Drug & Alcohol Action Team based at New Hope which will include reception duties. 
  • To support the team by undertaking a variety of tasks which include all administration duties, booking meetings and taking minutes as required, dealing with routine correspondence and enquiries, dealing with incoming and outgoing telephone calls. To record information on LAS as required to ensure that records are relevant and up to date. 
  • To manage the process for booking drug or breath test and liaise with referring agencies to ensure they provide all the relevant information and to inform the individual of the date and time of the test.  To update the person making the referral of attendance and the outcome of the test. 
  • The post holder will also liaise with referring agencies to ensure that they provide detailed information for the people being referred in and to make sure that referrals are appropriate and live within the Bracknell Forest area.  To reply to any online enquires and request further information as required and to follow them up if there is no response. 
  • To ensure that there are sufficient drug tests for the needs of the service and to regularly audit to ensure that they are in date and not expired.  To keep a record of the numbers of prescriptions and record when they are used or destroyed.  To ensure that there are sufficient supplies of Naloxone, record the serial numbers and expiry dates and ensure that staff record the details when the are given to individuals. 
  • To accurately record details of the people attending the services in a timely way to enable the Data Officer to prepare reports. 
  • To ensure that a full range of information is available to people who use New Hope and external agencies and to regularly provide updated information for publication on both the internal and external websites.  The post holder will also identify national and local initiatives which could benefit people who live in Bracknell and seek to promote them via internal and external websites. 
  • To provide administration support in respect of the training program by ensuring that contact details are provided to the trainer and by sending out evaluation forms to attendees.  The post holder will also keep a record of attendance and the information on the evaluation forms and provide the information to the data officer for the production of quarterly reports  
  • To receive and process invoices for payment, raise requisitions and liaise with suppliers to ensure that payments are made within required timescales. 
  • To ensure that the staff handbook, in house health & safety policy and office procedures are regularly reviewed and updated as required

    1. Understanding of and commitment to the requirements of safeguarding adults and young people at risk 
    2. Awareness of the importance of confidentiality 
    3. Experience of working within a frontline service 
    4. Experience of taking minutes/notes 
  6. Skills & Abilities: 
    1. Excellent administration skills, telephone answering, maintaining computer-based information accurately 
    2. Ability to work effectively within a team and to work using own initiative without supervision 
    3. Ability to work in a pressured environment 
    4. Able to work within a busy and demanding environment with individuals who may present with complex needs 
  7. A flexible approach at all times 
  8. Strong IT skills including Microsoft packages 
  9. Other Requirements: Evidence of two doses of an (MHRA) approved COVID-19 vaccine, or specified exemption
