The purpose of the role is to support the Intermediate Care at home team by carrying out administrative tasks and functions in accordance with the Authority and Directorate policies and procedures to facilitate the efficient organisation and smooth running service unit.
Key responsibilities:
- Work as part of a team providing administrative support duties will include collating staff pay, answering phones, typing reports and correspondence, photocopying and filing.
- Arrange meetings, safeguarding and other events, effectively and to a high standard.
- Dealing with highly confidential information and using a high level of discretion.
- Respond independently to correspondence and produce complex and confidential reports, and statistical information to a high standard and produce work to strict deadlines.
- Prepare agendas and type up notes of meetings connected with the work of the team/department or the job holder’s own specified area of work so that proper and accurate records are maintained and follow-up action is taken and monitored.
- Implement, develop and maintain information systems to ensure delivery of a high level of service and to ensure that financial systems are maintained, orders processed and receipted and budgetary information provided as required.
- Accurately record and update data monitoring systems to make sure that information is up to date.
- Carry out all duties with due regard to confidentiality and data protection regulations.
- The post holder should be aware of the service responsibilities for safeguarding and promoting the welfare of adults and/or children.
- The post holder should use initiative to prioritise and organise their own workload.
- Undertake such additional duties as are reasonably commensurate with the level of this post.

Qualifications:
- Educated to GCSE level or equivalent.
- High level of literacy and numeracy skills.
- Customer Services Qualification or other appropriate qualification.
Experience:
- Minimum of 12 months recent experience in a similar role, or context and ideally within a public sector organisation.
- Experience of working within a busy office environment.
- Experience of working within an administrative/secretarial environment.
- Experience of working to a high standard with IT systems in particular word, excel and Outlook.
- Experience of preparing documentation to a high standard using the full range of word processing services.
Skills & Abilities:
- Ability to minute take team meetings, briefings.
- Ability to demonstrate a high level of customer services.
- Excellent interpersonal skills with the ability to work as a member of a team to complete tasks, activities or events in co-ordination with diary commitments.
- Ability to work on own initiative, with minimum supervision, to prioritise tasks and meet deadlines.
- Ability to exercise flexibility in responding to conflicting work demands/requirements of the team and service
