Office based role

To work for the 24-hour emergency monitoring and response service ensuring that vulnerable people have access to support at the end of the phone or at the touch of a button whenever they need it.  You will be required to arrange for the accurate invoicing, deal with queries relating to the invoices, participate in recovery of outstanding debts and provide general administrative support to the team including making installation appointments, raising orders for goods and stock, assist with the compilation of monthly statistical data, photocopying, scanning and collation and inputting of customer data into computerised systems.

Key responsibilities:

  • Arrange for the creation of new customers using Liquid logic, Oracle and other computerised systems as required as part of the Carelink process
  • Ensure all customer paperwork and contracts are processed in line with set procedures.
  • Support the Accounts Clerk with generating refunds, credits or additional charges to be raised in response to changes in service provision and make arrangements for instalment payment plans.
  • Support the Accounts Clerk to participate in the recovery of any debt from customers relating to non-payment of invoices raised.
  • Raise orders for equipment and supplies through the Corporate financial system and process delivery notes to ensure payment is made in a timely manner.
  • Assist with the compilation of statistical data, workload management and other information systems.
  • Provide general administrative support for the team including photocopying, scanning, indexing, answering telephone calls, message taking etc.
  • Deal with incoming mail, including through generic electronic team mailboxes and action or distribute within the team.
  • Update and record serial numbers of newly delivered equipment and participate in the stock management process.
  • Take referrals from service users, health, social care and other agencies using social care database.
  • Schedule appointments, visits, installations as necessary, using social care database and other systems available.

  • Customer service skills with an excellent telephone manner.
  • Ability to organise your own workloads, prioritise tasks and work to deadlines.
  • Accurate data inputting skills.
  • Evidence of maintaining filing systems and diary management.
  • Excellent organisational and administration skills.
  • Experience of general office administration (answering the telephone, filing, photocopying, dealing with enquiries).
  • An understanding of the uses and availability of Telecare and Telehealth equipment.
  • Liquid logic and Oracle experience.
  • Ability to use computerised systems, particularly databases and spreadsheets (Microsoft Word, Excel and Access) .
