Temporary Admin Assistant P/T –Admin & Clerical

Pay rate: £12.47 per hour PAYE

The post holder will provide support as directed on a range of office based administrative tasks and community engagement projects.

Key responsibilities:

  • Provide a professional customer experience at first point of contact to support residents to obtain information and access services.
  • Provide administrative support to an allocated team or manager.
  • Monitor email communication, providing information in response to queries received or forwarding to an appropriate colleague for response.
  • Assist with the production of general letters for posting, including mail-merges and postings to block / group emails.
  • Accurately enter data into the team’s systems, extract information and undertake basic calculations as directed to enable the team to monitor performance.
  • Update documents to ensure accurate records are kept to track progress of work undertaken by the team and contractors.
  • Assist with the delivery of project work as and when required.
  • Use office equipment and technology, such as photo copiers and printers, to ensure tasks are completed efficiently to required standards and deadlines.
  • Support with the collating of paperwork for meetings and training sessions.
  • Any other duties commensurate with the level and responsibilities of role.

Experience & Knowledge / Technical skills

  • Minimum of 12 months administrative experience in a similar role, or context and ideally within a public sector organisation.
  • Knowledge of business processes and I.T. systems used in the administration of front line service delivery.

  • An understanding of the purpose of community development or housing related services provided to community groups and residents.
  • Willing and motivated to learn new skills and knowledge and apply them in the workplace.
  • Build and maintain positive relationships within the team and other stakeholders.
  • Able to be assertive whilst treating colleagues, customers, contractors and other stakeholders with dignity and respect.
  • Able to communicate clearly both in writing and orally.
  • Able to work with range of internal and external people
  • Able to work productively and collaboratively with others in different kinds of teams.
  • Able to plan and organise work schedule to meet all deadlines.
