Temporary Senior Administrative Assistant – School Transport Service

Job Ref: Hampshire 997673

To provide financial administrative support for the Home to School Transport Service. Dealing with customers (parents and schools) and suppliers on a daily basis over email and telephone. You will work with financial processes including approving monthly invoices and dealing with supplier queries, parental payment enquiries, and raising customer invoices. You will need to possess excellent organisational skills, have confidence handling numbers, pay close attention to detail and accuracy, and the ability to provide clear customer support.

Key responsibilities:

  • Develop and provide a comprehensive and efficient administrative support service to meet business requirements to a high standard.
  • Respond to routine supplier and customer enquiries relating to finance, referring these enquiries to other team members where appropriate.
  • Monitor team inboxes, and distribute correspondence as required and dealing with communication of a confidential nature with discretion.
  • Undertake general administrative duties.
  • Develop, maintain and update various information systems to ensure accurate information is readily available, including paper systems, spreadsheets and databases.
  • Accurately implement processes related to the collection of Home to School Transport income.
  • Approve monthly supplier invoices and investigate supplier invoice queries.
  • Process and set up payments for parental mileage allowances.

Essential Qualifications, Skills and Experience:

  • Experience of delivering a wide range of administrative functions and tasks.
  • Comfortable and experienced in a customer-facing role.
  • Ability to communicate effectively at all levels, both written and oral, with a wide range of people.
  • Good computer skills, including Microsoft Office programmes with a willingness to learn new software programs.
  • Ability to collate, compile, check and record information and data with a high degree of accuracy and handle confidential information sensitively and appropriately.
  • Ability to demonstrate effective planning and organisational skills with the ability to prioritise workload.
  • Ability to work with the minimum supervision on own initiative in a busy work environment.

 

Desirable Experience:

  • Previous experience working in a financial role, processing payments and financial transactions.
  • Previous experience in dealing with and resolving customer queries.
  • Previous experience working with SAP.
