The purpose of the role is to be responsible to the Property Services Manager for providing a high quality administrative and support service to Property Services.

Key Responsibilities:

  • Developing and maintaining efficient and user friendly administrative, filing and electronic systems (including system housekeeping tasks).
  • Organizing, attending and producing accurate minutes for a range of meetings, whilst maintaining a high degree of confidentiality for all information handled.
  • Co-ordinating the collection of incoming/outgoing correspondence, ensuring urgent matters are promptly referred and dealt with.
  • Raising and completing invoices and recharges when required, this also includes the raising and claiming of job tickets as appropriate.
  • Booking conferences, travel and accommodation as needed and arranging staff conferences and briefings when necessary.
  • Arrange Buffet’s and functions as required.
  • Pursuing progress on complaints and specific documents/issues and requests for information
  • Ensuring that all queries are dealt with professionally and ensure that the matter is resolved or forwarded to the relevant person.
  • Being proactive in producing and following up actions relating to decisions made and actions agreed.
  • Is self-motivated and able to manage your own time undertaking relevant tasks and activities without always having to be asked while demonstrating a positive attitude and approach to work. Presenting a positive, courteous, polite and professional image of self and the service.
  • Co-ordinating, preparing and arranging for the dispatch.
  • Liaising with the members of Council as appropriate, initiating good working relationships with a wide range of colleagues, internal and
  • external partners and stakeholders to deliver excellent services
  • Assisting with the implementing new procedures and administrative systems and providing a range of general advice and support as required.
  • Ensure the record and data management systems within the service are maintained to high standards to enable staff to carry out their duties effectively and ensure customers experience a high quality service.
