Temporary Personal Assistant P/T- Admin & Clerical

Location varies between Walsall & City campus mainly may be required to travel to other campuses.
The post includes working 2 late nights to 8 pm (Monday and Wednesday) and working alternate Saturdays 9-5.
The post holder will provide support to senior members of the Faculty of Education and must have the credibility to deal effectively with staff at a senior level both within the University and in external partner organisations
Key responsibilities:
- Providing effective assistance to members of Faculty Executive, including organising and managing their workloads, dealing with matters on their behalf where possible, delegating matters on their behalf where appropriate and prioritising issues as they arise.
- Maintaining an electronic diary for members of Faculty Executive
- Ensuring that, during the absence of members of Faculty Executive, all necessary and appropriate decisions are taken and matters progressed appropriately.
- Maintaining records in appropriate formats and filing for retrieval as necessary.
- Ensuring that members of Faculty Executive are appropriately prepared for forthcoming meetings/conferences/external visits with the relevant papers, background information, etc.
- Providing administrative support for committees, negotiating agendas, writing minutes and ensuring all necessary follow-up actions are carried out.
- Updating the internal and external webpages for the Faculty Executive
- Making arrangements for travel, accommodation, itineraries, both national and international, and the compilation of relevant expense claims.
- Organising meetings, including room bookings, refreshments, AV needs, attendance of invitees etc. Welcoming and looking after visitors.
- Assisting at University events, ceremonies and functions as required.
- Processing orders ad hoc, as required
- Responsible for Faculty social media accounts, daily postings & updates
- Organising events within the faculty ie; conferences, away days, staff/student drop in sessions.
- Taking charge and maintaining records of annual leave requests on behalf of your Faculty executive.

Experience & Knowledge / Technical skills
- Must have significant experience of supporting senior management in a PA or similar role and have experience of servicing high level committees
- Educated to at least ‘A’ level standard or equivalent
Skills & Abilities
- Strong, organisational, interpersonal and prioritisation skills
- Must be IT literate and capable of embracing technological change in developing existing business systems.
- Must have a confident telephone manner and demonstrate excellent interpersonal skills.
- Excellent communication and customer care skills
- Must have minute taking skills
- Ability to work as part of a team
- Good Attention to Detail
- You will have high level communication skills, both written and oral.
- Must be able to initiate own work and have excellent organisational and time management skills.
