Temporary Personal Assistant/Administrator - Children's Services

The purpose of the role is to provide full executive support to the HOS and/or nominees (including acting up to PA2) as and when required within the organisation. Extensive email and diary management, scheduling, correspondence, human resources, deadline compliance and meetings.
Key Responsibilities:
- To provide a confidential executive support to HOS to ensure that the Council’s goals and objectives are accomplished.
- Manage communication between HOS and employees, liaising with internal staff and external partners on various projects and tasks.
- Plan, orchestrate and monitor work to ensure that the HOS priorities are met and best practices upheld, thus achieving set aims and objectives as well as statutory and corporate deadlines.
- Draft replies to certain correspondence for HOS consideration.
- Acquire data, research information and draft documents/reports/presentations.
- Flexible in office attendance times, this may require early attendance or late attendance on occasions to assist the needs of the service.
- Co-ordinate complex scheduling and extensive calendar management (including vitual meetings), often managing multiple inboxes, as well as management of content and flow of information to relevant staff.
- Effectively prioritise and organise/book venues, events, meetings, conferences, invitations, travel arrangements, refreshments for the Head of Service.
- Organise internal team communications for service area and plan events, internally and off-site.
- Maintaining an office set-up that optimises workflow.
- Maintaining and populating Structure Charts for Children’s Services.

Qualifications:
- NVQ 3 in Business Administration or equivalent qualification or significant experience as a Personal Assistant or in a Business Administration or equivalent role supporting officers in a complex organisation.
Skills & Experience:
- Minimum of 12 months recent experience in a similar role, or context and ideally within a public sector organisation.
- Minute taking skills and experience.
- Excellence in proactive planning and organisation and demonstrable diary management skills.
- Capable of working under pressure and using own initiative with ability to prioritise workload.
- Ability to be highly confidential.
- ICT Skills: Strong IT skills including Microsoft packages or equivalent (e.g. G Suite).
