The purpose of the role is to co-ordinate the process of letting all void properties from receipt of notification of tenancy termination to sign up of new tenancy.
Key Responsibilities:
- Provide a high level of customer service with emphasis on getting things right the first time, keeping promises and taking ownership for the customer. Aim to promote self-sufficiency in our services while offering support to those that need extra help.
- Work with partners to set, coordinate, track and ensure completion of actions with other services to get things done for the customer which meet or exceed customers’ expectations.
- Liaise with customers and internal stakeholders to facilitate a seamless end to end lettings process.
- Coordinate the end to end mutual exchange administrative process to ensure operational and statutory compliance.
- Ensure clear understanding of tenant’s obligations when ending a tenancy and enforce tenancy agreement terms and recharge with outgoing tenants.
- Maintain and coordinate the provision of an induction pack for new customers and work with the frontline housing management team to comply with the administration processes.
- Quality check customer and property data after sign up to ensure compliance with policy and local government.
- Providing information about the Council’s lettings by completing CORE logs for each general needs letting or shared ownership sale.
- Improve the collection of people and property related data including photographs throughout lettings process and enter it into relevant systems
- Ensure that affordability assessments and other relevant pre tenancy checks are carried out to assess tenancy sustainability and assist in the process of identifying potentially vulnerable tenants who may need support to maintain their tenancy.
- Manage the processing of tenancy deposits, ensuring internal financial and external processes are adhered to.
- Offer proactive resolution of customers’ complaints and members’ enquiries regarding the service ensuring all issues are remedied and a formal response is provided concluding the case within the legislative framework.

Skills & Experience:
- Minimum of 12 months recent experience in a similar role, or context and ideally within a public sector organisation.
- Experience of working in a housing related area, or attendance at college studying a housing related subject.
- Understanding of issues around housing law, rights of tenants and laws relating to repairs.
- Proven experience of providing excellent customer services.
- Experience of working in a partnership/multi-agency setting.
- Experience of administrative systems and procedures.
- Ability to communicate clearly and concisely, orally and in writing with a wide range of people, including Councillors, contractors and other agencies.
- Highly self-motivated with the ability to plan work effectively without high levels of supervision
- Proven ability to work methodically, follow agreed procedures and accurately record data and information.
- Proven ability to provide accurate and clear responses to routine customer enquiries - in writing, face to face or by telephone.
- Problem solving and decision making - ability to deal with potentially complex situations within a busy workload, mitigate risks to customer and organisation, and achieve positive outcomes
- Strong IT skills including Microsoft packages or equivalent (e.g. G Suite).
