Full Job Title: Interim Executive Support Officer/Administrator - Admin & Clerical

Pay Rate: £21.10 per hour PAYE
This is a Hybrid role – 3 to 4 days in the office.
This role will provide an efficient, high quality proactive support service to the Senior Leadership Team.
Each Executive Support Officer will provide a complete personal, administrative and secretarial service to a member of the Senior Leadership Team.
You will develop administrative procedures, data collection and associated management information systems, taking lead responsibility in some areas.
You will take a lead role on specific projects and departmental multi-agency meetings and report on their outcomes directly to senior managers within the division.
You will provide a supporting role on projects; assist directors and divisional managers with compiling reports for the Senior Leadership Team.
Key purposes will include:
- Excellent minute taking skills (the ability to accurately minute large complex partnership meetings)
- Diary management
- Researching and drafting of documents and reports
- Budget/financial monitoring and management including ordering/invoice processing
- Formatting and delivering reports and presentations
- Providing practical support to enable senior managers to function effectively
- Acting as an ambassador for the Senior Management Team with regards to communicating with internal and external stakeholders

Qualifications
- Considerable experience in the provision of wide-ranging high quality executive support
- Excellent minute taking skills (the ability to accurately minute large complex partnership meetings)
- Considerable experience in the provision of wide ranging and accurate executive support at a high level in a professional environment, including dealing with correspondence, organising meetings, diary management and handling confidential and sensitive issues
Skills, Experience and Attitude
- Demonstrable organisational skills such as multi-tasking, using initiative, problem solving, working independently and prioritising workloads; and the ability to be resilient in a pressurised environment subject to changing workloads and conflicting priorities
- Proven ability to work as part of a team
- An understanding of the current and future issues facing local government and other partners
- To be competent in organising events, using initiative and being creative in how to plan the day/event: Taking control of catering, location, calendar requests, IT equipment and other to ensure a successful event/ Being able to organise the event in a controlled and efficient manner without assistance from others
- Excellent interpersonal and networking skills, with the ability to develop positive and effective partnerships with staff from other council departments, other organisations and agencies
- Excellent verbal and written communication skills, with the ability to convey ideas and present complex information in a clear and simple way
- Excellent skills in financial and management information analysis and making recommendations based on findings to support business plans
- Ability to monitor budgetary information and spreadsheets
- Advanced computer skills and experience in using the full range of Microsoft Office applications (especially MS Office, PowerPoint and Word, MS Excel, MS PowerPoint, data handling and desktop publishing packages) and the ability to use these effectively.
