Hybrid role: mainly office based (4 days)

The role of diary manager will be challenging and stimulating, working in a fast-paced environment to provide high quality and timely support. The successful candidate will have exceptional organisational skills, excellent communication skills and attention to detail, with a proven track record of exceptional complex diary management. The successful candidate must be able to work in a proactive and flexible way to provide comprehensive support.

Key responsibilities:

  • Provide professional, sensitive, timely and effective management of diary and meeting requests.
  • Brief the team regularly and confidently on diary commitments.
  • Support the day-to-day running of the office including providing administrative support and ensuring briefings are prepared and printed for upcoming meetings.
  • Ensure effective inbox management, including excellent judgement to recognise and flag the relevant importance of emails and requests received and proactively dealing with requests where possible.
  • Quickly build and maintain effective relationships across the wider team and beyond.
  • Supporting the team with corporate tasks as required e.g. to ensure appropriate office cover at all times.
  • Coordinate and manage logistical arrangements for meetings: book meeting rooms, welcome visitors, arrange travel.
  • Manage corporate processes e.g. ensure that the shared calendar is efficiently managed and maintained, logging and responding to correspondence.

  • Experience of supporting a manager/team at senior level with extensive and complex diary management.
  • Experience of working in a busy, high-profile environment or Private Office setting (desirable).
  • Exceptional time management and organisational skills.
  • Excellent written and oral communication skills.
  • Strong IT skills using Microsoft packages.
