To support the Resource Team and the Department, providing an efficient and value for money service in the facilitation of Domiciliary Packages and Residential Placements within block and spot contractual arrangements. Carry out a range of invoice processing tasks, to include invoice validation, certification and approval for payment working,

Key responsibilities:

  • Accurately record and update associated systems promptly and in line with departmental procedure.
  • Carry out a range of invoice approval procedures including invoice validation, invoice certification and approval for payment.
  • Assist in the establishment and maintenance of high-quality administrative systems utilising all ICT possibilities.
  • Maintain properly documented files, records and client information as well as prepare standard reports as required.
  • Manage and routinely report on the day to day financial and service activity of contracted Domiciliary care and Residential placements.
  • Maintain records of financial activity for contracted services.
  • Troubleshoot enquiries and queries from providers and contractors, working to resolve issues quickly and independently and documenting issues consistently.
  • Use and assist others in the use of information technology systems to carry out duties in the most efficient and effective manner.
  • Participate in Team and Departmental quality assurance programmes and contribute to audits when directed, sharing results and comply with action plans to improve the service.
  • Attendance at meetings and training when directed, bring written or verbal reports and updates in line with good practice and policy.

Skills & Experience:

  • Ability to understand and apply basic accounting concepts, VAT and financial procedure in the processing of invoices/credits notes and associated controls.
  • Experience of working within a Health, Social Care, Finance or Local Authority environment.
  • Experience of maintaining and using computerised and other record/data systems that hold a wide range of financial, service, contractual and confidential information.
  • Experience of collating financial data and managing an invoicing process.
  • Proficient in Microsoft Office applications in particular, Microsoft Excel, Word and Outlook. And be prepared to learn other systems used in social care as required.
  • Ability to develop and maintain effective administrative systems and procedures.
  • Ability to communicate effectively with a wide range of stakeholders, including care managers, care professionals, internal Ability to communicate effectively with a wide range of stakeholders, including care managers, care professionals, internal managers and staff and external providers and suppliers.
  • Ability to remain highly organised and focused when working under pressure, and the ability to prioritise and meet deadlines.
  • Able to display an awareness, understanding and commitment to the protection and safeguarding of vulnerable adults.
  • Minimum of 12 months recent experience in a similar role, or context and ideally within a public sector organisation.
