Temporary Finance Assistant – Facilities Management

Role Length: This opening assignment is for 6 months
The post holder will provide a full range of property and premises support duties and will be responsible for the recording of all financial transactions within the local office and making cash and cheque payments to clients and staff as required.
Key responsibilities:
- Assist the Site Manager and Facilities Assistants in undertaking all Property duties at the site.
- Support other localities if required.
- Deputise for Site Manager or Assistant Site Manager as required.
- Take responsibility for recognizing all areas of premises/building health and safety raising concerns and highlighting issues.
- Test Fire alarm, Panic alarm and the checking of fire extinguishers are correctly placed.
- Act as fire coordinatorand to assist in building evacuation for fire and bomb alerts.
- Acting as first point of contact for all client financial enquiries,
- Check and code invoices and passing for payment and the recording of commitments for all expenditure from office budgets.
- Upon receipt, take into custody and ensure the safety of monies, cash, property and other documents
- Maintain accurate inventory of all items in the safe.
- Check home to school transport payments are processed in line with designated procedures.
- Check non-school attendance fines are processed in line with designated procedures.
- Manage payments from charitable organisations; maintain proper audit trails of all transactions against each client/budget.
- Raise and process orders using the procurement system in accordance with properly authorised requests.
- Monitor expenditure to ensure best value and quality of service.
- Prepare documentation on a monthly basis for internal re-charging to teams.
- Prepare all cash and cheque payments made from Money Management/Petty Cash

Experience & Knowledge / Technical skills
- GCSE pass or equivalent in English & Maths
- Demonstrable knowledge of financial management.
- Experienced in handling cash in a work environment, filing systems and record keeping
- Experience in facilities management including post, reception, cleaning, security
- Knowledge of the latest legislative requirements as they relate to the Service
- Demonstrable experience of delivery and effective engagement with customers /stakeholders within a complex public service context.
Skills & Abilities
- Working accurately with numbers
- Ability to working to tight deadlines
- Awareness of confidentiality, understanding of the requirements of an office environment.
- Excellent communication skills both oral & written
- Ability to work under pressure, meet challenging deadlines and organise workplans.
- ICT Skills: Strong IT skills including Microsoft packages or equivalent (e.g. G Suite).
