Interim Executive Support Admin Officer

Working in the Leader’s Office, you will play an important part in the work of the Council and the Leadership Team. Reporting into the team’s ‘Operations’ function and working on a day-to-day basis alongside the Strategic Advisors, your main responsibility will be to provide administrative and diary support to members of the Leadership Team
Key responsibilities:
- Diary Management, in including the arrangement of internal and external meetings and appointments, preparation and despatch of invitations to meetings and events and the monitoring of responses, managing room bookings and refreshments, as required.
- Working alongside the Strategic Advisors, to assist with the preparation and dispatch of meeting reports and papers, arranging printed copies as required
- Working alongside the Strategic Advisors to assist with the Lead Member’s casework, updating records and databases and following up on responses, ensuring professional records are kept adhering to GDPR requirements
- Working with the Strategic Advisors to handle confidential correspondence when necessary and respond to enquiries via telephone, post or in person. This includes supporting some of our most vulnerable residents to assist in linking them with the services they require.
- Arranging travel and booking transport as required
- Assisting with basic IT queries relating to the Lead Members
- Assist with welcoming external visitors to the Town Hall, providing refreshments as required
“Role Requirements” – to give yourself the maximum chance of success please try and ensure your CV addresses the following essential criteria:
- Grade C or above in at least five GCSEs and/or A levels or equivalent. They may also have a lower-level Apprenticeship or other relevant qualifications and experience
- Demonstrable previous experience of managing multiple complex diaries at senior executive level
- Experience of working with confidential / sensitive information
- Significant experience of working with Microsoft Office applications, especially Outlook, Word, Excel and PowerPoint
- Previous experience of delivering a wide range of administrative functions
- Effective communication skills both written and oral
- Ability to work without supervision, using own initiative to prioritise own and others’ needs to tight deadlines
- Ability to work well in a team
