Full Job Title: Temporary Secretary/Administrator – Management Support

The post holder will provide direct, confidential administrative and technical support to a designated Assistant Director and a wider directorate leadership team.

  • Provide direct, confidential and administrative support to the Assistant Director/other Assistant Directors and Elected Members (as required)
  • Manage and maintain diary schedules and appointments
  • Liaise with Elected Members and a wide range of internal and external bodies on a range of issues on behalf of the Assistant Director(s)
  • Deal with complex and sensitive customer queries
  • Assist with incoming and outgoing correspondence and undertake appropriate responses as requested
  • Set up and produce non standard letters/templates/spreadsheets/documentation, update and maintain databases and produce management information
  • Arrange and attend events and meetings, produce agendas and take minutes
  • Organise the procurement of goods / services
  • Provide cover for the PA to the Strategic Director and other Management Secretaries across other directorates during periods of annual leave, sickness and where high workload volumes have been identified
  • Ensure that the section complies with administrative procedures relating to Council Policies, Council Procedure Rules, Financial and Procurement Procedure Rules by providing advice and/or administrative support


Specific Role Requirements” – to give yourself the maximum chance of success please try and ensure your CV addresses the following essential criteria:

  1. Substantial recent PA/Secretarial experience, preferably within a similar role and ideally within a public sector organisation
  2. Proven ability to take and transcribe detailed and accurate meeting minutes.
  3. Good problem solving skills and ability to use initiative
  4. Excellent customer service skills
  5. Accuracy and attention to detail
  6. Excellent communication skills – both verbal & written
  7. Good word processing skills of 60 wpm (minimum)
  8. ICT Skills: Strong IT skills including Microsoft packages or equivalent (e.g. G Suite)
