Office based

The purpose of the role is to assist the Children’s Centre Locality Business Manager to provide a high quality administrative service supporting the smooth day to day functioning of the children’s centre.

The Administrative Assistant will support the Business Manager with admin duties such as room, taxi and interpreter bookings, accurately inputting confidential data onto databases, liaising with customers and suppliers to support office finance systems and processes and supporting the multi-agency teams.

Key Responsibilities:

  • Demonstrate understanding of children’s centre services, Camden Council and other local services for families with young children.
  • To receive personal visitors (maintaining signing in sheets, issuing visitors passes, verifying and logging contractor identification), process postal deliveries (date stamping and logging) receive telephone calls, including the recording and passing on of messages to the appropriate team member. To work at the reception desk, providing excellent customer service to members of the public, including promoting services and signposting and booking parents onto children’s centre activities.
  • Provide a wide range of administrative support to children’s centre services, liaising with internal and external customers and partners including processing the engagement of interpreters, crèche workers and, taxis ensuring that monitoring systems are maintained.
  • To work flexibly, providing administrative support across children’s centre localities and working from multiple settings, when required, to deliver outcomes.
  • To maintain the smooth running of the office in the Business Manager’s absence dealing with day to day issues, responding to internal and external enquiries and liaising with covering Office Managers.
  • Support the Nursery with the issuing of contracts with nursery parents and other nursery operational support needs.
  • Undertake accurate data entry using a range of client databases and IT systems.
  • Meet customer needs and deal effectively with customer enquiries on the reception desk and via telephone and email.
  • Provide an excellent level of customer service.

Skills & Experience:

  1. Minimum of 12 months recent experience in a similar role, or context and ideally within a public sector organisation.
  2. Substantial administrative experience within a busy office environment.
  3. Experience of working in a busy reception area providing services to the public
  4. Ability to work accurately and methodically within an agreed work programme, adhering to priorities and timetables
  5. Highly effective communication skills demonstrating ability to communicate effectively face to face, over the telephone and in writing with a wide range of people
  6. Ability to work as a member of a team, sharing workloads with others, taking responsibility for areas of work, and maintaining an awareness of team priorities and responsibilities.
  7. Ability to adapt to changing demands and initiatives within the office environment.
  8. A good level of numeracy and literacy
  9. ICT Skills: Strong IT skills including Microsoft packages or equivalent (e.g. G Suite).
