Full Job Title: Temporary Cabinet Admin Support Officer x2 – Chief Executive

Minute taking skills and experience are essential for this role

Must be able to work physically in the office (Hackney Town Hall) a minimum of two days per week.

As the Cabinet Support Officer you will be responsible for delivering a seamless and high quality support service to members of the Mayor’s Cabinet and will also liaise closely with the Mayor, senior officers and their teams.

This is a wide ranging and challenging role responsible for managing diaries, briefing requests and correspondence on a daily basis operating in a politically sensitive environment.

You will need to be a highly motivated, proactive individual with strong organisational and communication skills, and the ability to work with members and officers across all parts of the organisation.

Due to the nature of the role, experience of working under pressure in a similar role providing support to a senior manager or a politician at a high level is essential.

You must also have experience in independently carrying out duties effectively.

Good knowledge and understanding or experience in a political or local government environment is desirable but not essential.


Specific Role Requirements” – to give yourself the maximum chance of success please try and ensure your CV addresses the following essential criteria:

  1. Knowledge & Experience:
    1. Political nous, and knowledge of local government policies and political and legislative developments, as well as the local government legislative and financial framework
    2. Good knowledge and understanding of current issues facing London local authorities.
    3. Substantial experience in a similar role providing support to a senior manager or politician, providing a range of support services including diary management, and drafting letters and reports.
    4. Experience of attending high-level meetings and taking accurate notes to ensure any follow-up work required is recorded and monitored.
    5. Experience of handling and responding to enquiries and complaints from a wide range of individuals and organisations.
    6. Experience of dealing with sensitive and confidential issues.
    7. Able to use own initiative to be proactive and work independently to ensure tasks are completed on time and to the required standard.
    8. Must have recent, substantial experience of providing high level administrative support to a Chief Officer or Senior Manager in a large organisation (including comprehensive diary and inbox management).
    9. Must have experience of attending high level meetings and taking accurate meeting notes and recording action points for circulation.
    10. Must have experience in using Google packages (Gmail, Docs, Sheets and Slides). -Stakeholder management experience highly preferred.
    11. Experience of working in a political office is preferred. 
  2. Skills & Abilities:
    1. Ability to plan and manage the diary of two or more Cabinet members, including the daily and future scheduling of meetings and work projects.
    2. Ability to produce high quality documents using a range of software packages including Google Suite and Microsoft Office.
    3. Excellent time management skills to develop effective work plans, set priorities, meet deadlines and prioritise conflicting demands.
    4. Ability to communicate effectively at all levels both orally and in writing in order to promote the Mayor and Cabinet in a positive and professional manner.
    5. Ability to work closely with the Mayor and Cabinet and develop and manage relationships and effective working links across the authority and with external organisations.
    6. Ability to undertake research and information gathering on particular topics on own initiative, including good analytical and problem solving skills.
    7. Ability to organise and co-ordinate briefings for Cabinet members through liaison with appropriate Chief Officers or their nominees.
    8. Proven ability in developing and maintaining a wide range of office systems to ensure efficiency and the smooth running of the office.
    9. Proactive and intellectually curious - takes an interest in Mayor and Cabinet portfolios and the wider Council and political context, able to learn more about the issues, take ownership of tasks, follow up actions
  3. Strong IT skills including Microsoft packages
