The post will be part of an administration team that exists to provide an important administrative and secretarial service to adult community and older people services to ensure the smooth running of those services. This is to include using computerised information systems, collating statistics and returns as required by the Trust, word-processing, developing and maintaining filing systems, being first port of call (usually by telephone) for patients, relatives/carers and other professionals
Key Responsibilities:
- Supporting processes required to input and extract data from the Mosaic system as directed.
- Support key service processes, which could include: administration regarding Safeguarding, offers of Carers Assessment, Processing provider payment and contribute time to Reception.
- Be responsible for ensuring the data on RIO and Mosaic is accurate and up to date. The post holder will extract routine data for the Trust and/or team members. To produce reports and alert team to errors and problems as they arise.
- Ensure that Treatment Outcome Profile data required by the NTA is accurate and up to date.
- Ensure that carers detail recorded on both RIO and MOSAIC.
- Ensure that all dependants are recorded on RIO and MOSAIC and all information regarding Safeguarding Children procedures for example CASSA (CAFs) is uploaded on both systems.
- Ensure that other data required by NDTMS and commissioners is accurate and up to date

Qualifications:
- NVQ Business Administration level 2 or 3 or willingness to work towards achieving it
- GCSE English or equivalent
Knowledge:
- Knowledge of the business and how it supports patient care
Experience:
- Demonstrable and strong experience of administrative & secretarial work, managing a busy workload
- Experience of working within a multi-disciplinary team
- Front line customer service experience
Skills & Abilities:
- Exceptional organisational skills and ability to prioritise
- Excellent communication and interpersonal skills
- Ability to provide secretarial support for meetings e.g. organising, booking rooms, minute taking
- Ability to manage diverse workload whilst dealing with frequent interruptions
