Minute taking skills & experience is essential for this role
To support the VRU project management function ensuring proper administration and co-ordination of VRU functions including meeting administration, project boards and associated project documentation repositories, data protection, budgets and transparency.
This role provides a full and confidential secretarial and business support service to the Head of VRU primarily, but other members of the Senior Leadership Team if directed by the CEO. The role requires the individual to work proactively as part of a small team with minimal supervision
Key responsibilities:
- Assess and triage all enquiries to identify the most appropriate customer service pathway including working in close conjunction with VRU Programme Manager and other OPCC Business Support Officers for all VRU/ OPCC related matters.
- Ensure all GDPR and confidentiality measures are appropriate and effective, including handling com- plex confidential and sensitive matters which require co-ordination of responses both internally and/or partner organisations in accordance with OPCC policy and procedure.
- Organise meetings, draft agendas, arrange venues and refreshments. Produce accurate minutes/notes of meetings in a timely manner.
- Be responsible for booking venues and facilities for consultation events, project workshops and seminars, ensuring that meetings are suitably adapted for all invitees needs with hybrid meetings where practicable.
- Manage the decision-making process and maintain and record of all decisions and contracts made by the Police and Crime Commissioner in line with policy and procedure.
- Progress and chase on a range of matters including actions and risks, meetings papers and monitoring reports to ensure deadlines are achieved.
- Be responsible for handling petty cash, raising orders, processing payments, progressing contracts, monitoring expenditure and budgets in accordance with OPCC policy and procedure.
- Provide general administrative support to include photocopying, collating reports, distribution of mail etc, in addition to organising developing and maintaining efficient and confidential filing systems and other computerised casework systems.
- Provide cover and support for other OPCC Business Support and VRU team members when required.
- Support delivery of an effective, efficient, and productive VRU/OPCC by providing collegiate support and occasional assistance to other function areas to ensure fulfilment of duties and activities.
- Be responsible for personal and corporate development by identifying and taking the lead on opportunities for continuous improvement, developing innovations and proposals to ensure you are supporting both your own career needs and the professional development and evolution of the OPCC/ VRU.

Qualifications:
- NVQ Level 2 in administration or equivalent.
Experience:
- Must have 3 years’ experience and high level of competency working as an administrator in a large organisation.
- Experience of providing excellent customer ser- vice directly to the public, including being the first point of contact for enquires, in a demanding and pressurised environment.
- Experience of responding to urgent issues.
- Experience of managing and maintaining relationships.
- Resolving people / customer / management challenges.
Skills & Abilities:
- Ability to deal effectively with customers at all levels – external, internal and stakeholders.
- Exceptional attention to detail and excellent organisational skills, including the ability to prioritise correspondence, work and engagements, with minimal supervision to a high standard
- A high level of interpersonal skills and able to communicate effectively and professionally verbally and in writing, including progress chasing at a senior level.
- Must have an ability to produce concise and highly accurate written material, including noting actions and minute taking.
- Ability to plan and prioritise effectively to meet deadlines and deliver an excellent service.
- The skills and ability to draft correspondence on behalf of the OPCC.
- Diplomatic and tactful, able to maintain strict confidentiality in a politically sensitive environment.
- ICT Skills: Strong IT skills including Microsoft packages or equivalent (e.g. G Suite).
