Temporary Administrative Officer - Children & Family Services

37 Monday – Friday, normal working hours 

This opening assignment is for 1-2 months  

City: GLENFIELD 

Main duty will be collecting information an updating the data base. To process a range of applications in relation to children in entertainment and employment. To work within a legal framework carrying out statutory duties whilst promoting compliance with current legislation, national guidance and local Byelaws.  

Provide advice/guidance to clients in accordance with national and local legislation. Work with a range of internal and external agencies who are involved in either local businesses or the entertainment industry across Leicestershire, to ensure the safety and wellbeing of children 

Key Responsibilities: 

  • Process a range of applications in a consistent manner in accordance with national legislation/guidance and local Byelaws. Ensuring that those responsible for using children in performances (professional and amateur), in paid sport and modelling, make suitable arrangements to safeguard them. 
  • Provide advice/guidance on local authority and national legislation in areas of responsibility.  
  • Maintain accurate files and records, both manual and computerised, in respect of children who are partaking in performance/employment.  
  • Maintain administrative systems and processes to enable and support the efficient and effective running of the Child Performance & Employment Team.  
  • Accompany the Senior Child Licensing & Inspection Officer on performance related inspections and/or child employment inspections/awareness raising, as and when required.  
  • Assist in the recruitment of Chaperones, conducting interviews during busy periods or in the absence of colleagues, seeking references and arranging for police/social care vetting checks to be completed.  
  • Assist Senior Officers in gathering statistical information as and when required. 
  • Be aware of the legal requirements relating to data protection and to work within them. 
  • Undertake general office duties, maintain filing systems and ensure effective arrangements are in place for receipt and distribution of post, in particular safeguarding the confidentiality of information 
  • Such other duties as may, from time to time, be required within the grade for the post

Qualifications: 

  • Education to GCSE ‘C’ or equivalent including English Language and Mathematics, Or Equivalent NVQ level in administration 

Knowledge: 

  • Knowledge and experience of administrative processes and systems 

Experience: 

  • Experience of liaising with customers / clients using a variety of methods 
  • Experience of accurately capturing, storing and retrieving information to meet organisational and customer needs 
  • Experience in generic admin duties 

Skills & Abilities: 

  • Evidence of good organisational skills 
  • Ability to interpret information and data  
  • Ability to present accurate information clearly, both written and orally  
  • Ability to communicate positively both orally and in writing, including good telephone manner
