Administrative Assistant - Term Time

Hybrid working - Flexible with start and finish times. Usually have one day a week in the office for team moral but if candidate wish to work in the office everyday this is also an option.
This role is term time only and will be supporting nurseries/pre-schools dealing with documentation relating to Early Years entitlement, free school meals and funding for 2-year-olds.
The postholder will be dealing with processing large amounts of documentation relating to the Early Years Entitlement, Free School Meals and Funding for 2 Year Olds. This includes, inputting & checking large amounts of data to tight deadlines. The post could also involve other administrative and financial tasks. You will need to be organised, have an eye for detail, proficient in the use of ICT including databases, Outlook, Excel and SAP, work accurately to tight deadlines, display a good level of numeracy and have the ability to work alone as well as being part of a team
Key responsibilities:
- Respond to customer need through the provision of high quality services.
- Use of various databases some bespoke, for maintaining/updating a variety of details which could include course bookings, payments, registers and other information. Some elements of this work may be time specific.
- Use of the SAP financial system to run reports, raise purchase orders and process invoices with the guidance of a colleague. Sourcing quotes as required. Processes financial transactions after authorisation by a manager, this could be using transfer journals, invoicing, procurements cards or other methods.
- Undertakes filing and archive files.
- Produces reports, often bespoke, extracting a variety of information from different sources. This information can be provided to managers and customers. Complies information packs if appropriate.
- Monitor appropriate budgets for a variety of areas.
- Monitor and suggest improvements where appropriate for any system and procedures already in place.
- Acts as the focal point of contact for customers liaising with them giving specific information around their area through telephone, email (being responsible for a central email inbox and archiving when necessary) and face to face. Including meeting and greeting.
- Undertakes clerical and other work as appropriate including telephone enquiries, photocopying, faxing, post and organises bulk copying/distributions deciding on the most appropriate form of distribution.
- Dealing with payments from customers including cheques, cash and card, banking payments where required

- Minimum 12 months office experience.
- Communication skills – good written and oral skills with an ability to communicate with ease at all levels in an appropriate, concise and accurate manner.
- Must have office experience, good with numbers but not required to come from Finance background.
- Financial/Administrative skills – ability to record facts and figures accurately paying close attention to detail.
- ICT skills including databases and financial applications
- Ability to communicate clearly and confidently with people at all levels
