Hybrid working, office attendance approximately 2 days per week

Minute taking skills and experience are essential for this role

A Business Support Assistant is required to undertake general administration tasks and to support the Commissioning and Market Management for Peoples directorate. To provide administrative support to the professional team(s) enabling the most efficient use of their professional time, and helping to develop a team identity including the provision of central communication links for public and other professional agencies.

Key responsibilities:

  • Provide general administrative support including photocopying, filing, scanning, organise meetings, minute taking, developing and utilising standard letters and pre-formatted documents, PowerPoint presentations to ensure the efficient and effective delivery of support to ensure service needs are met and business levels maintained. Ultimately, undertake activities connected with supporting the work of the service ensuring that activities are properly operated to achieve optimum efficiency and effectiveness. This may include entering, keeping and updating service user records.
  • Receive telephone and other communications to enable effective liaison and recording of incoming information. Screen messages and requests and decide upon appropriate course of action, taking advice from other team members where necessary, having regard to the need to preserve an efficient image to the public of the department.
  • Manage the response to enquiries to ensure prompt accurate communication standards are met and maintained. Ensure that up to date, accurate and relevant information is taken or provided so that enquirers can be informed in their decision making. Receive and process information, passing on to other team members to provide a response where required.
  • Read incoming correspondence, sort priority mail and distribute to Team Members.
  • Respond to feedback about performance in a positive manner identifying potential areas for improvement to systems, functions and activities and referring to an appropriate supervisor or manager ensuring quality standards and service needs are met and business levels maintained.
  • Organise and assist in service and business process reviews and projects to ensure managers are supported in their planning to implement, streamlined, cost effective services.
  • Undertake activities connected with supporting the work of the team ensuring they are properly operated to achieve optimum efficiency and effectiveness, this may include the ordering of supplies, equipment and other necessary items required for staff to undertake their duties.

Qualifications:

  • 5 GCSE’s – A to C including English and Maths.
  • ECDL or equivalent or evidence of working towards desirable.

 

Experience & Knowledge:

  • Minute taking skills and experience.
  • Knowledge, experience and awareness of work procedures necessary in administration/finance.
  • Sound working knowledge of local government and its services.
  • Minimum of 12 months recent experience in a similar role or context and ideally within a public sector organisation.
  • Understanding of commissioning contract processes desirable.
  • Experience of producing documentation.

 

Skills & Abilities:

  • Ability to function efficiently and professionally in a busy office environment.
  • Able to input/monitor spreadsheets, perform word processing tasks, communicate via e-mails and input/update databases.
  • Excellent communication skills including good standard of literacy/written skills.
  • Strong IT skills including Microsoft packages or equivalent (e.g. G Suite).
  • Ability to work independently with confidence and discretion.
  • Ability to work in line with agreed processes and to meet stringent deadlines relating to business support tasks.
  • Able to take minutes, good organisational skills, and ability to show confidentiality, impartiality and initiative.
