A Business Admin Support Assistant/Advisor is required to deliver an effective administrative service which ensures families receive appropriate and timely interventions.
Key responsibilities:
- Receive enquiries from members of the public and professionals and provide appropriate advice, signposting and guidance to ensure consistency.
- Undertake specific administrative tasks i.e. word processing, spreadsheets arrange meetings, prepare agendas and take minutes to facilitate the effective operation of the team adhering to policies and procedures. To support the Family Hub Teams to effectively deliver evidence-based programmes of support to parents in welcoming and comfortable environment.
- Input and maintain monitoring and data analysis systems in relation to children and families to ensure the provision of accurate and up to date information for effective management decisions to be taken.
- Ensure work is completed accurately and within timescales in order that the time of the team is used efficiently and effectively.
- Maintain administrative and financial systems to ensure smooth running of the service area. To contribute to the maintenance of dedicated information databases and case management systems and support the Family Hub Teams to maintain effective secure records relating to the operation of the service being requested.
- Ensure that systems connected with the work of the team are properly operated, problem areas identified and suggestions for improvement made so as to ensure optimum efficiency and effectiveness.
- Undertake duties as part of an administration team as appropriate to ensure that operational needs are met through flexible team working.
- Escalate and seek advice on any issues relating to safeguarding.

Qualifications:
- At least 5 X GCSE’s or equivalent qualification including Maths & English Grade C or above.
- ECDL or equivalent.
Experience:
- Experience of undertaking a range of administrative tasks.
- Experience of working in a customer service environment.
- Minimum of 12 months recent experience in a similar role or context and ideally within a public sector organisation.
- Experience of use of maintaining databases.
- Experience of maintaining financial records and contracts.
- Understanding of relevant legislation, policies and procedures including the Children and Families Act 2014 desirable.
- Understanding of every child matters agenda desirable.
Skills & Abilities:
- Able to accurately produce correspondence and reports, prioritise work, maintain accurate financial records.
- Organisation and planning skills.
- The ability to converse at ease with customers and provide advice in accurate spoken English is essential for the post.
- Flexible approach to work.
- Willingness and ability to travel throughout the borough.
- Strong IT skills including Microsoft packages or equivalent (e.g. G Suite).
