Temporary Administration & Support Assistant – Transport Services

Role Length: This opening assignment is for 2-3 months
This role is responsible for the provision of a wide and varied range of administrative support, assisting with the provision of an effective and efficient support service to the Integrated Passenger Transport service. The role will focus upon the efficient and effective processing of ‘Bus Pass’ applications, this includes monitoring emails, taking calls, processing applications, data input and records management in-line with Council procedures.
Key responsibilities:
- Deal with telephone, email and postal queries in relation to the production of Bus Passes and associated correspondence.
- Undertake a wide range of administrative duties in relation to administration and general support to the IMT service, which includes regular handling of sensitive information.
- Assist in the creation and collation of a variety of data for management purposes using a range of media, performance monitoring information, spreadsheets etc.
- General finance support, invoicing and orders using Oracle.

Qualifications:
- NVQ Level 2 Business Administration or equivalent, for example 5 GCSE’s in Maths and English (Grades A-C).
Experience:
- Experience of working within an office environment.
- Experience of working to tight deadlines.
- Experience of dealing with queries and providing a range of administrative support.
- Minimum of 12 months recent experience in a similar role, or context and ideally within a public sector organisation.
Skills:
- Excellent oral and written communication skills.
- Accurate IT and keyboard skills.
- Proven administrative and organisational skills.
- Able to work to within tight deadlines.
- Able to use own initiative.
- Understanding of, and commitment to, customer service care.
- A flexible approach to work and a capability to work under pressure to deadlines with drive and enthusiasm.
- Methodical, accurate with concern for detail.
- Able to maintain confidentiality.
- Strong IT skills using Microsoft packages or equivalent (e.g. G Suite).
