Temporary Transport Assistant / Admin - Admin & Clerical

Office based
A Transport Assistant is required to work in Client Reception and with the Client Operations Team. To provide day to day support, advice and guidance to the provider team(s) and/or work within own area of responsibility and to assist in the commissioning, delivery, coordination and promotion of transport services and related project work at operational level. Continuously look for synergies and efficiency savings across area of responsibility.
Key responsibilities:
- Assist with the procurement of passenger transport services for local bus, children's and adults clients.
- Maintain and evaluative passenger transport and related databases including SEATS, inspection, timetables, contracts and tendering, incident reporting, Max Respect and information packs.
- Assist with contract and day-to-day administration, invoice ratification, contractor performance issues, pupil conduct issues, and the tendering and procurement process.
- Liaison with contractors, suppliers, schools, parents, public and other Directorates, on a broad range of operational requirements and to obtain information to assist line management decision making.
- Provide information and guidance on operational transport issues.
- Assist with transport reviews and the collection and analysis of information.
- Responding to routine correspondence by letter, telephone, facsimile and email.
- Use of CRM systems to respond to and resolve customer enquiries.
- Administer Post 16 payment function.
- Assist with event management e.g. driver workshops, stakeholder engagement.
- Required to provide assistance at any time (including out of normal office hours) and at any place in the County during emergency situations.

Qualifications:
- Must be working towards or hold a CILT Certificate or BTEC National Certificate (or equivalent) or relevant experience.
Experience:
- Experience of working in a busy, high pressurised environment, supporting others.
- Minimum of 12 months recent experience in a similar role, or context and ideally within a public sector organisation.
- Competent at undertaking routine correspondence with effective administrative skills.
Knowledge & Skills:
- A sound knowledge of communication and customer care skills.
- Good verbal communication skills both telephone and face to face and be able to demonstrate empathy and tact to address sensitive issues and deal with the requirements of vulnerable customers.
- Good interpersonal skills.
- Skilled at team working and working on own initiative in routine matters and in prioritising work.
- Good understanding of operational performance management.
- Competent at identifying operational risks within own area of work and office environment.
- Skilled at interpreting information from a number of sources to inform decision making.
- Knowledge of Data Protection and FOI requirements.
- Good geographical knowledge of the county.
- Strong IT skills using Microsoft packages or equivalent (e.g. G Suite).
